The cloud accounting software you choose becomes the backbone of your financial operations. Switching platforms after you've built a chart of accounts, connected your banks, and generated years of reports is painful, expensive, and time-consuming. Getting this decision right matters.

QuickBooks Online (QBO): Strengths & Weaknesses

What QBO Does Well

Dominant North American market share. QBO is used by more small businesses in Canada and the US than any other platform. That means better bank integrations, more third-party apps built for QBO first, and the widest pool of accountants and bookkeepers familiar with it.

US-specific features. QBO has the best 1099 and W-9 contractor management of any platform. Its US payroll integration (QuickBooks Payroll) is deeply embedded and handles multi-state payroll, W-2 preparation, and federal payroll tax deposits.

Sales tax automation. QBO's automated sales tax feature can track economic nexus thresholds and calculate rates across US states automatically — invaluable for e-commerce and SaaS companies selling nationwide.

Robust reporting. QBO's reporting library is extensive. Custom reports, class tracking, and project profitability are all strong.

Accountant familiarity. Your US-based CPA has almost certainly used QBO. Handoff at tax time is seamless.

QBO's Weaknesses

  • Pricing has increased significantly. QBO plans now range from $35–$235 USD/month. Not expensive relative to what it delivers, but it's real money for a small business.
  • Interface complexity. QBO can feel cluttered and counterintuitive for simple businesses.
  • Customer support is notoriously poor. Getting a competent human on the phone is difficult.

Best for: Businesses with US employees, US contractors (1099), significant US operations, or those primarily working with US-based tax professionals.

Xero: Strengths & Weaknesses

What Xero Does Well

Cleaner, more intuitive interface. Xero is widely regarded as the more modern, user-friendly platform. The bank reconciliation workflow in particular is superior — faster and easier than QBO's.

Excellent multi-currency support. Xero handles USD/CAD and other currency pairs cleanly at lower plan tiers than QBO.

Built-in GST/HST filing (Canada). For Canadian businesses, Xero has native CRA GST/HST return preparation built in — a genuine advantage.

Active app ecosystem. Xero has 1,000+ app integrations, many of which are available in Canada before QBO.

Better value for simple businesses. Xero's lower tiers offer solid functionality at a lower price point than equivalent QBO plans.

Xero's Weaknesses

  • No native payroll in Canada. Xero Canada requires a third-party payroll app (Wagepoint, Payworks, or ADP). Not a dealbreaker, but adds cost and complexity.
  • Smaller US bookkeeper/accountant base. Finding a US CPA comfortable with Xero is harder than finding one comfortable with QBO.
  • US 1099 handling is weaker. QBO significantly outperforms Xero for US contractor management.

Best for: Canada-first businesses, businesses needing strong multi-currency support, or those with a preference for a cleaner, more modern interface.

Our Recommendation: How to Choose

Choose QuickBooks Online if:

  • You have or plan to hire US-based employees
  • You work with US independent contractors (1099)
  • You have significant US revenue and need automated nexus tracking
  • Your CPA is US-based and primarily uses QBO
  • Your business is primarily US-facing

Choose Xero if:

  • Your business is primarily Canada-focused
  • You sell in multiple currencies and want clean FX handling
  • You value a cleaner interface for day-to-day reconciliation
  • You don't need US payroll
  • You already use a third-party payroll tool you're happy with

For true cross-border businesses (significant operations in both Canada and the US), we generally recommend QBO — the US-specific features typically outweigh Xero's Canadian advantages, especially once your US contractor and payroll obligations grow.

What About Migration?

If you're currently on QuickBooks Desktop, Sage 50, or Wave, migrating to a cloud platform is almost always worth it. Cloud platforms provide automatic bank feeds, real-time collaboration with your bookkeeper, and automatic software updates.
